Mail merge can produce consistent letters or labels from structured data, but a field mismatch can multiply through every output. Separate template design, source-data checks, and distribution approval.
Prepare a clean source
Use clear column headings and consistent formats. Identify duplicate records, missing required values, and fields that should not appear in the final document. Use fictional contacts while learning or testing the template.
Build with styles and fields
Use Word styles for headings and paragraphs, and keep reusable layout decisions in the template. Add merge fields deliberately and preview a small sample before generating the complete set.
Inspect edge cases
Check blank optional values, long names, punctuation, page breaks, date formats, and output filenames. Confirm that each generated document maps to the intended recipient and contains no leftover placeholder text.
Control distribution
Use an approved storage location and follow applicable privacy and retention rules. A successful merge does not verify the recipient list; a person must review the generated sample and approve the final distribution.
